Professional Organizer + Warehouse Assistant


Reports to:

  • Director of Organizing 
  • Organizing Project Manager
  • Warehouse Manager



We are looking for a professional organizer to join our team that will also work as the assistant to our warehouse manager. 


Independent Contractor Position - Pay starting at $20/hour ($22/hr+ after 5 day  trial period)


Typical Schedule: Must be available M-F 10AM -6:30PM, 30-40 hours per week.

This position is balance of making beautiful spaces and hard work. We work hard to achieve our clients final vision, doing everything from painting, assembling furniture, taking trash to the dump, and cleaning. It is not all glamorous, but it is alway worth it. 



General Requirements

  • Must be 21+ years of age to apply
  • Must have 1-2 years of organizing experience
  • Must have a valid driver’s license and reliable transportation to and from client projects. Must be ok with driving throughout Utah. We work in Utah, Salt Lake, Davis, and Summit Counties. We do adjust for serious weather conditions, but you should be prepared to drive in rain and snow. 
  • Work days are often 8+ hr days, and you should prepare to be able to stay the entire project even if it runs late
  • Must have a working smartphone- we use a lot of apps for our work flow
  • Must have knowledge of organizing products and tools. Well acquainted with Container Store preferred.
  • Must be a dependable person that shows up on time & responds promptly to phone calls, texts, and emails
  • Must be able to pass a background check
  • Must be able to lift up to 50 lbs
  • Must be able to perform physical tasks and stand for extended periods of time
  • Ability to demonstrate creative problem-solving skills on the fly
  • Enjoys working with individuals to create positive change
  • Enjoys working in a team environment
  • Ability to efficiently manage time and complete tasks within the time-frame given
  • Knowledge of high-end luxury brands for household needs, interior furnishings, and fashion is a plus


Warehouse Requirements:

  • Must be able to lift up to 50+ lbs
  • Must be able to perform physical tasks and stand for extended periods of time
  • Keep warehouse/van set to standard
  • Loading/unloading van for upcoming/previous jobs
  • Shopping/returns/errands for current and upcoming clients
  • Must be able to use Slack and Google Suite 


Organizing + Design Requirements

  • Makes sure home is set in a timely manner and up to Simply Sam Organization + Design standards
  • Ensures final walkthrough is done and project completed properly.
  • Ability to ensures all items necessary have been received & unpacked intact
  • Ability to measure a room accurately
  • Ability to place decorative pieces in an aesthetically pleasing manner
  • Work with clients to meet and exceed their organizing goals
  • Working hands-on with the client to help them make decisions, prioritize and purge, and then create systems of organization that will be simple for them to maintain
  • Transfer organizing skills to the client (when requested)
  • Continual organizing skill set growth by reading organizing books and magazines, window shopping for the latest and greatest in the organizing industry.
  • Knowledge of design industry is a plus but not required

About the Role

Simply Sam is seeking a seasoned problem solver who wants to be a part of a growing team. We want someone who wants to take the knowledge they have and create more efficiency and can also appreciate the different approach Simply Sam takes to projects. This role will work closely with our CEO/ Principal Designer, Owner/ General Construction, and our VP: Design + Construction. Simply Sam is currently responsible for all aspects of the design process from construction plans to final decor styling installs, and you will have a hand in all aspects of the process. We are looking for a creative and detail-oriented candidate that will be highly organized and motivated to join our team. We need someone who is interested in creating and finding answers to problems before the problems exist. We need someone who is a professional problem solver with the knowledge of design and construction. This position will have to create and maintain processes. 


Please note Simply Sam has a high presence on social media and this person must be comfortable in front of the camera and sharing on social media. 


Job Responsibilities: 

General Responsibilities

  • Ability to work on multiple projects at once


Project Management 

Procurement Logistics

  • Purchasing coordinator managing accounting functions including billings, accounts receivable and payable
  • Utilize Ivy software with proficiency in item entry, budgets, and proposal creation
  • Establish and implement purchasing policies, procedures, and best practices
  • Own design inbox
  • Manage ordering and purchasing for design team
  • Ensure proper scheduling and delivery of design items.
  • Assist with the creation and management of budgets and inventory through Google Sheets 
  • Interact with vendors to schedule delivery times and coordinate shipping and logistics
  • Authorize payments and maintain receipts and records
  • Provide project accounting data to managerial staff as needed
  • Maintain fabric and sample library in office

Client Billing + Budget Tracking

  • Track all charges, receipts, and invoices into client spreadsheets 
  • Track all payments to subcontractors cross referencing bill.com, receipts channel, and client purchasing channel to ensure documentation and updating into client spreadsheet

Internal Company Receipts Process

  • Manages the receipt email
  • Manage financial slack channels, receipts, exec receipts and client purchasing 
  • Receipts In charge of physical/digital receipt organization. Keep digital folders for all receipts in drive, physical copies at office

Client Management

  • Manage client profiles in Houzz Pro
  • Work with client managers to gather and send weekly updates to clients via Houzz Pro platform
  • Keep information such as timelines updated in Houzz Pro 

Operations Coordination  

  • Manage company admin calendar for all ongoing construction, design,  organizing, client,  and internal meetings invites.
  • Schedule all vendors for for bids and work to be performed
  • Track vendor + client availability
  • Communicate with Vendors and Clients to insure day to day work is being communicated and completed. 

Subcontractor Vendor Management

  • Onboarding Vendors insuring proper documentation across Bill.com, and insuring that we have proper documentation including but not limited to signed contract, COI, and W-9 

Manage all vendor +  subcontractors relationships, ensuring proper onboarding and set up into all Simply Sam databases and Bill.com.

  • Track all invoices in Bill.com to ensure accuracy of items billed
  • Request and track COI’s + W-9s for each subcontractor
  • Maintain communication for scheduling,  resolution, and reconciliation



Qualifications:

  • Bacherlors’ degree in related field 
  • 2-3 years working in design or construction industry
  • Personal form of reliable transportation will be needed for site visits, sample pickup, etc
  • Experience working with vendor management systems (Bill.com, a plus) 
  • Proficient in Google Suite and Slack
  • Experience or ability to implement process to keep accurate record keeping
  • Ability to manage complex calendars
  • Excellent attention to detail and deadlines
  • Excellent communication skills 
  • Ability to manage teams and delegate tasks
  • Highly motivated and outstanding work ethic
